Terms of Service

1. Agreement

These Terms of Service (“Terms”) govern your use of Expense Tracker (the “Service”), a web application for capturing, categorizing, and exporting personal and business expenses. By creating an account or using the Service, you agree to these Terms and to the Privacy Policy. If you do not agree, do not use the Service.

2. The Service

The Service lets you photograph receipts, import bank statement files (CSV or PDF), automatically extract and categorize transactions using artificial intelligence, reconcile receipts against statement entries, and export your data as Excel files. Automated extraction and categorization are performed by third-party AI models and are provided on a best-effort basis — you are responsible for reviewing extracted amounts, dates, and categories before relying on them for reimbursement, tax, or accounting purposes. The Service is not accounting, tax, or financial advice.

3. Your account

You must provide accurate information when creating an account and keep your credentials secure; you are responsible for activity under your account. You must be at least 16 years old (or the age of digital consent where you live) to use the Service. One person or entity per account — accounts may not be shared or resold.

4. Plans, billing, and cancellation

The Service offers a free plan with monthly usage allowances (which reset on the first day of each calendar month) and a paid Pro subscription, billed monthly or annually through our payment processor, Stripe. Prices are shown at checkout; subscriptions renew automatically until cancelled. You can cancel anytime from the billing page — cancellation takes effect at the end of the period you have already paid for, and no further charges are made. Except where required by law, payments are non-refundable for partial periods. We may change prices with at least 30 days’ notice; changes apply from your next renewal.

5. Fair use

“Unlimited” features on the Pro plan are subject to fair personal or single-business use. We may apply rate limits or contact you about usage that is far outside normal patterns (for example, automated bulk uploading on behalf of third parties), and may suspend accounts that abuse the Service’s AI-processing features.

6. Acceptable use

You agree not to:

  • upload content you do not have the right to process, or content that is unlawful or malicious;
  • attempt to access other users’ data or probe, scan, or test the vulnerability of the Service without written permission;
  • interfere with the Service’s operation, or resell, rehost, or white-label it;
  • use the Service to violate any applicable law, including tax and anti-fraud laws.

7. Your content

You own the receipts, statements, and transaction data you upload. You grant us a limited license to store, process, and transmit that content solely to operate the Service — including sending receipt images and statement text to our AI provider (Anthropic) for extraction and categorization, as described in the Privacy Policy. We do not sell your data or use it for advertising. You can export your data as an Excel file or delete it at any time.

8. Intellectual property

The Service, including its software, design, and branding, is owned by the Service operator and protected by applicable intellectual-property laws. These Terms grant you a personal, non-exclusive, non-transferable right to use the Service; they transfer no ownership.

9. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate accounts that materially breach these Terms, after notice where practical. Upon account deletion, your data is removed as described in the Privacy Policy. Sections that by their nature should survive (including 7–11) survive termination.

10. Disclaimers

The Service is provided “as is” and “as available” without warranties of any kind, express or implied, including fitness for a particular purpose and non-infringement. AI-generated extraction and categorization may contain errors. We do not warrant that the Service will be uninterrupted, error-free, or that exported data will satisfy the requirements of any particular employer, tax authority, or accounting standard.

11. Limitation of liability

To the maximum extent permitted by law, the Service operator will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, data, or goodwill. Our total liability for any claim relating to the Service is limited to the greater of the amount you paid us in the twelve months before the claim and USD 50. Nothing in these Terms limits liability that cannot be limited by law.

12. Changes to these Terms

We may update these Terms as the Service evolves. For material changes we will give notice (for example, by email or an in-app notice) at least 14 days before they take effect. Continuing to use the Service after changes take effect constitutes acceptance. These Terms are governed by the laws of the jurisdiction in which the Service operator is established, without regard to conflict-of-law rules.
